The Undergraduate Council funds activities by recognized and unrecognized student groups through a project-based system. To apply for UC grant funding, fill out a Common Grant Application and select either Upfront or Retroactive Funding. You can also use the Common Grant Application to track the status of your grant.

Finance Committee interviews take place on Wednesday evenings from 7:00-8:00PM in Loker 028. You will be e-mailed your interview time.

Even if you have applied for a UC grant in the past, please read the FAQ below as many of our policies have changed. If your question is unanswered, please feel free to contact the Finance Committee Chair, Amanda Lu (alu@fas.harvard.edu), or the Finance Commitee Vice Chair.

    Frequently Asked Questions:

Who is eligible for UC Funding?

All official and unofficial student groups are eligible for funding.

What types of funding does the Undergraduate Council offer?

The Undergraduate Council offers two types of funding: retroactive and upfront. Upfront funding applicants receive their grant checks prior to the event, but must apply at least 21 days prior to the event. In addition, the date of the event must not change.

Retroactive funding applicants receive their grant checks after the event. Retroactive grant applicants may apply anytime prior to the event, or up to 21 days after the event. The committee considers late applications on a case-by-case basis.

How does the grants process work?

The Undergraduate Council Finance Committee is charged with the administration of the grants fund.

Upon submission of an application, all grant applicants are invited to an interview. You will interview with two committee members, who will carefully evaluate your application in accordance with our established policies. You may select as one interviewer your House Representative.

After going through your grant, your interviewers will make a recommendation to the committee. The committee votes on an amount for each grant, and then compiles all grants recommendations from that week into a grants pack. This grants pack is then sent to the full UC, which must vote on it before it becomes finalized.

After approval by the UC, upfront grants are cut by the Treasurer and mailed. Upfront grant recipients must file a Completed Project Form within 21 days after the event, and submit the form along with receipts to the Finance Committee.

Unlike upfront grants, retroactive grants are cut only after submission of the Completed Project Form and receipts. If by the time of the interview your event has already occurred, simply bring your receipts to the interview. If by the time of the interview your event has not yet occured, you must submit your Completed Project Form and receipts to the Finance Committee within 21 days of the event.

Because it is easiest to simply bring your receipts to the interview, we strongly recommend that retroactive grant applicants apply after the event has occured.

This flowchart illustrates the full procedure.

How does the Committee determine funding?

A list of our established policies is available here.

How do I submit my Completed Project Form and receipts?

Please place all completed project forms and receipts into an envelope, along with a check made out the Harvard Undergraduate Council covering any unused funds. You may submit envelopes to your House Representative, or bring them in to a Finance Committee meeting.

When your receipts are received, we will check "Received All Information" on the Common Grant Application.

So does this mean no more audits?

We will continue to audit a random sampling of submitted receipts. You will be notified if any irregularities are found.
